A receipt routine that survives a week in the field

The best time to preserve an expense is when it happens. A short routine gives the person preparing the report less detective work at the end of a trip.

At the purchase

Photograph the entire receipt on a flat surface. Check that the merchant, date, total and payment details are readable. If it is a long receipt, keep all pages. Avoid sending a cropped total without the items that explain the purchase.

Add the missing context

Record the project and location while they are fresh. A restaurant name alone may not explain which client visit a meal belongs to. Follow your company's rules for attendees and business purpose, and avoid including unnecessary personal information.

Keep one source of truth

Collect supporting receipts with the report instead of scattering them across texts, email threads and personal folders. Retain originals according to your company's policy. If you upload the same receipt again, check the resulting entries before submitting.

Review the unusual items first

Start with unreadable images, foreign currencies and missing receipts. Resolve questions with your reviewer, then check ordinary expenses by category. Keep refunds, split reimbursements and company-paid charges in your company's separate process; they are outside Spendan's current out-of-pocket workflow.

Make the handoff predictable

Agree on the file formats and naming convention your finance team or client expects. Open the final report and receipt package before sending.
