Give your expense reviewer a clear starting point

A useful report makes questions easy to find and answer. It gives a reviewer context without forcing them to reconstruct the trip from a folder of images.

Agree on categories before the trip

Use the categories your company or client recognizes. Decide where parking, tolls, meals and incidentals belong. Spendan includes Hotel, Meal, Transportation, Gas and Other, with a description for Other. Consistent categories make totals easier to compare across trips; nearly identical labels do the opposite.

Flag uncertainty openly

If an amount is unclear or a receipt is missing, keep the question visible until it is resolved. An extracted value is a suggestion to review, not proof that an expense meets a policy. Keep notes specific: what is missing and who can answer it.

Check the reimbursement total

Separate out-of-pocket expenses from company-paid items. Resolve refunds and adjustments through your company's process rather than adding unsupported entries to a Spendan report. Compare the reimbursement total with the underlying entries and evidence instead of assuming a neat-looking PDF is correct.

Give the reviewer a complete package

Include the report, relevant receipts and the information needed to understand exceptions. Keep company branding consistent, but spend more attention on dates, labels and totals than decoration. Spendan helps prepare the report and receipt package; your team controls approval and submission.
